How to sum values where the checkbox is checked in Google Sheets
Google Sheets formula
=SUMIF(C2:C9,TRUE,B2:B9)Use SUMIF with TRUE as the criterion: =SUMIF(C2:C9,TRUE,B2:B9) adds the amounts on ticked rows.
- Result on the example
- $804.75 in

The formula is already in E2. Change any input and the result updates, or edit the formula to experiment.
How it works
SUMIF checks each cell in C2:C9 for TRUE, a ticked box, and adds the amount on the same row: 412.50 + 286 + 64.75 + 22.90 + 18.60 = 804.75. Unticked boxes hold FALSE, so their amounts are left out, and ticking one more box updates the total at once.
=SUMIF(C2:C9,TRUE,B2:B9)Result804.75
C2:C98 rows × 1 col: TRUE, TRUE, FALSE, TRUE, …A range: 8 cells in one column.
B2:B98 rows × 1 col: $412.50, $286.00, $38.20, $64.75, …A range: 8 cells in one column.
SUMIF(C2:C9,TRUE,B2:B9)804.75SUMIF: Adds values where the range meets a condition.- range
C2:C98 rows × 1 col: TRUE, TRUE, FALSE, TRUE, … - criteria
TRUE - sum_range
B2:B98 rows × 1 col: $412.50, $286.00, $38.20, $64.75, …

Other ways to do it
Each one was run on the same example sheet.
| Formula | Result | When to use it |
|---|---|---|
| =SUMIF(C2:C9,FALSE,B2:B9) | $584.50Different result | Sum the unticked rows: what is still owed. The amounts not yet reimbursed: $584.50. |
| =SUMPRODUCT(B2:B9*C2:C9) | $804.75 | TRUE counts as 1 and FALSE as 0 in multiplication, so this works too. |
Common mistakes
- Putting TRUE in quotes,
"TRUE", still works in SUMIF, but in other formulas text "TRUE" isn't the same as the value TRUE. - The sum range and the checkbox range must be the same size and start on the same row.
Try it yourself
Same data, empty answer cell. Your formula is graded instantly, then re-checked on changed data, so a typed-in number won't pass.
Sum values where the checkbox is checked
E2, add up the amounts in B2:B9 for the expenses ticked as reimbursed.Questions
How do I sum checked rows for one category?
Use SUMIFS: =SUMIFS(B2:B9,C2:C9,TRUE,A2:A9,"Hotel").
Can I list the checked rows?
Use FILTER: =FILTER(A2:B9,C2:C9), since the checkboxes are already TRUE and FALSE.
