How to sum if a checkbox is checked in Excel

Formula (Excel and Google Sheets)

=SUMIF(C2:C8,TRUE,B2:B8)

A checked box is TRUE, so use it as the condition: =SUMIF(C2:C8,TRUE,B2:B8).

Result on the example
$795.00 in F1

The formula is already in F1. Change any input and the result updates, or edit the formula to experiment.

How it works

Checkboxes in Excel 365 and Google Sheets store TRUE when checked and FALSE when not. SUMIF compares column C with TRUE and adds the amounts on the checked rows. Tick another box and the total updates.

=SUMIF(C2:C8,TRUE,B2:B8)

Result795

  1. C2:C87 rows × 1 col: TRUE, FALSE, TRUE, FALSE, …

A range: 7 cells in one column.

  2. B2:B87 rows × 1 col: $412.00, $386.00, $48.00, $126.50, …

A range: 7 cells in one column.

  3. SUMIF(C2:C8,TRUE,B2:B8)795

SUMIF: Adds values where the range meets a condition.

    • rangeC2:C87 rows × 1 col: TRUE, FALSE, TRUE, FALSE, …
    • criteriaTRUE
    • sum_rangeB2:B87 rows × 1 col: $412.00, $386.00, $48.00, $126.50, …

In Google Sheets

The same formula works in Google Sheets: =SUMIF(C2:C8,TRUE,B2:B8). We ran it in Google Sheets mode on the same data and it returns $795.00.

Other ways to do it

Each one was run on the same example sheet.

FormulaResultWhen to use it
=SUMPRODUCT(--C2:C8,B2:B8)$795.00Turns TRUE/FALSE into 1/0 and multiplies by the amounts.
=SUMIF(C2:C8,FALSE,B2:B8)$586.50Different resultThe unchecked rows: what is still to be reimbursed. Totals the unchecked expenses: 586.50.

Common mistakes

  • "TRUE" in quotes is text and may not match the logical TRUE in every app. Use TRUE without quotes.
  • Older form-control checkboxes don't store anything in the cell. Right-click > Format Control and set a linked cell, then sum on the linked cells.

Try it yourself

Same data, empty answer cell. Your formula is graded instantly, then re-checked on changed data, so a typed-in number won't pass.

Sum if a checkbox is checked

In F1, total the expenses whose Reimbursed box in column C is checked (TRUE).

Questions

How do I count the checked boxes?

Use =COUNTIF(C2:C8,TRUE).

How do I add a checkbox in Google Sheets?

Select the cells and choose Insert > Checkbox. The cells hold TRUE or FALSE, so the same SUMIF works.
